SAM registration (System for Award Management entity registration)
SAM registration stands for System for Award Management entity registration. SAM registration is the process of creating your company's entity record in SAM.gov. You enter your legal business name, address, tax ID, bank account for payments, business types, NAICS codes, points of contact, and your representations and certifications.
The process has a few checkpoints. First your name and address are validated against official records. Then the IRS checks your tax ID against your legal name. U.S. businesses are also assigned a CAGE code by the Defense Logistics Agency. Your registration becomes active only after all of these steps clear.
Why it matters to a small contractor
Federal contracting officers generally cannot award a contract to a business without an active SAM registration. It also feeds other systems like SBA's Small Business Search, so a sloppy registration can hide you from buyers. If you would rather not register yourself, a prime contractor such as XL Eagle can bid for you and bring you in as a subcontractor.
Example
A two-truck hauling business decides to bid on federal debris removal. The owner gathers his EIN letter, bank routing number and articles of organization, then works through SAM.gov one section at a time over an afternoon.
SAM registration: common questions
How long does SAM registration take?
It varies. Simple registrations can activate in a couple of weeks, but name or address validation problems can stretch it much longer. Start well before any bid deadline.
Can I choose not to do a full registration?
Yes. SAM.gov lets you get a Unique Entity ID only, without a full registration. That is enough for some subawards and reporting, but not for being awarded most prime contracts.
What is the most common reason registrations get stuck?
Mismatches. Your legal name and address must exactly match IRS and other official records, and small differences like 'LLC' versus 'L.L.C.' can trigger a rejection.
