Win Theme
Win Theme. A win theme is a clear message about why your company is the best choice, built on a real benefit the customer cares about and backed by proof. For example: 'Our local crew can respond to emergencies within one hour, as we have done for three county facilities since 2019.'
Good proposals pick a small number of win themes and repeat them in the executive summary, the technical approach and the past performance. Themes work best when they line up with the evaluation factors in Section M.
Why it matters to a small contractor
Small businesses often have strong win themes they forget to use: local presence, owner on site, quick response, low turnover, specialty licenses. Write two or three down before you start the proposal and make sure each one has a number or a fact behind it.
Example
A small plumbing contractor bidding a base housing maintenance contract uses one win theme: 'Owner-supervised work with same-day response.' It backs it up with a dispatch log showing average response times on its current municipal contract.
Win Theme: common questions
How many win themes should I use?
A few strong ones beat many weak ones. Many proposal writers aim for two to four.
What makes a win theme credible?
Proof. Numbers, references, certifications or examples from real jobs turn a claim into something an evaluator can score as a strength.
