Equipment and term: New equipment under a cancellable five-year lease; current fleet includes approximately 59 multifunction devices and 2 desktop printers. Provide per-device pricing for comparable replacements and a recommended optimized fleet.
Usage: Listed monthly volume totals approximately 1,124,805 black-and-white and 575,401 color pages; size equipment to each location's usage.
Features: Black-and-white and color printing as needed, letter/legal and 11 × 17 capability where required, duplexing, stapling finishers, analog fax, scan to email, and on-premise SMB folder scanning.
Security: PIN/card secure print, Active Directory authentication, encrypted storage, automatic data overwrite, and certified data destruction at removal.
Service and supplies: Include parts, labor, travel, preventive maintenance, toner, staples, firmware updates, and training. Black-and-white toner must be OEM. Respond within one hour, provide onsite service within 24 hours when needed, and supply a loaner after two business days of downtime.
Delivery and pricing: Include freight, installation, network setup, and end-of-lease pickup. Deliver within 30 working days, connect within two business days, and itemize relocation costs and additional fees.
