What the job is
Presentation and controls: One wireless presentation system supporting two simultaneous presenters; integrated 4K60 AVoIP system with one controller, four encoders and five decoders; one control processor, two 7-inch touchscreens and one video switcher with at least four HDMI inputs.
Cameras and audio: Two ceiling-mounted 4K auto-tracking PTZ cameras with minimum 10x optical zoom and joystick controller; four networked loudspeakers and one DSP with acoustic echo cancellation, covering a 1,200+ sq. ft. main room and 900+ sq. ft. lobby.
Discussion and voting: Twenty wireless voting units plus five non-voting units, 25 gooseneck microphones, one wireless controller, three charging stations covering all units and one multichannel recording engine expandable to 500 GB. Include encrypted communications, eight-hour battery operation for voting units, voting-result exports and permanent operational licenses.
Infrastructure: Lockable equipment rack, 24-port PoE+ managed switch with 10 Gb uplink and minimum 500 W PoE budget, Cat6A cabling, power distribution and surge protection; minimum 2000 VA UPS providing three minutes at full load and 20 minutes at half load.
Integration and delivery: Include all equipment, licenses, labor, programming, testing, on-site training and documentation. Support hybrid meetings, recording, OBS livestreaming through an existing workstation and independently controlled lobby audio/video with single-step closed-session cutoff. Complete within 60 calendar days of the authorized start date.
Warranty and support: Include 36 months of equipment warranty and separately price each of three annual maintenance/support periods, including remote and on-site support, four-business-hour acknowledgment and remote troubleshooting within one business day.
