What the job is
Dates: April 13–15, 2027, and April 11–13, 2028; approximately 80 attendees per event. Meetings run Wednesday 9:00 AM–5:00 PM and Thursday 8:30 AM–3:00 PM, with setup access from 5:00 PM Tuesday.
Lodging: Single and double occupancy rooms, with 20 rooms checking in Tuesday for two nights and 60 additional rooms checking in Wednesday for one night; all check out Thursday. Please provide rates for both occupancy types.
Meeting space: Private general session room for 80 with crescent round seating, two additional private breakout rooms for 40 each, an 800-square-foot registration area with two skirted 8-foot tables and three chairs, and secure storage.
Additional space: Private exhibit area for four approximately 10-by-10-foot booths with electricity and Wi-Fi, a mothers’ room, a prayer room, and dining space for 80; the general session room may serve as dining space.
AV and internet: LCD projectors, screens, microphones, sound systems, podiums, general session stage, hardwired presenter connections, attendee Wi-Fi, and onsite technical support.
Catering: For 80 each: Wednesday morning pastries and buffet dinner; Thursday buffet breakfast; buffet lunches, afternoon snacks, and all-day coffee, tea, water, and soda both meeting days. Include vegetarian and low-fat options and dietary accommodations.
Access and pricing: Accessible facilities with ample parking; lodging, meeting space, and parking within one-quarter mile of each other or shuttle service provided. Itemize each year’s pricing, including taxes, service charges, parking, any shuttle charges, and cancellation fees. Attendance and room counts are estimates; rates must remain firm if counts decrease.
