What the gig needs
We are looking for pricing and availability for a three-day annual conference venue in Texas, with preferred locations including Dallas-Fort Worth, Houston/Galveston, San Antonio, Austin, Corpus Christi, or Bryan/College Station.
- Event window: Three consecutive conference days between September 15 and December 15, 2027, plus setup/check-in and checkout days
- Lodging: Approximately 2,088 direct-bill room nights, with peak room needs around 593 rooms and courtesy block options preferred
- Meeting space: General session ballroom for 700-800 attendees, secondary ballroom for 200 attendees, up to 17 breakout rooms, computer lab, boardrooms, registration area, planning room, and secure storage
- A/V: Podiums, microphones, projectors/screens, sound systems, internet access, staging with ADA ramp, and onsite technician support
- Parking: Daily parking capacity for approximately 822 attendees, including accessible and oversized vehicle parking
- Food and beverage: Breakfast, lunch, banquet dinner, break stations, and social event menu options with itemized pricing
